Terms of service

Effective date: October 6, 2026

These Terms of Service (“Terms”) govern your use of the website at https://frontofficepilot.com (the “Site”), the Front Office Pilot service, and the text messages we send. The Site and the service are operated by Didier Holding Co., doing business as Front Office Pilot (“Front Office Pilot,” “we,” “us,” or “our”). By using the Site, booking a demo, signing up for a trial, subscribing to the service, or opting in to our text messages, you agree to these Terms and to our Privacy Policy at https://frontofficepilot.com/privacy-policy/. If you do not agree, please do not use the Site or the service.

What is Front Office Pilot?

Front Office Pilot is a business-to-business software service for service businesses. It includes Chat Pilot, an AI assistant that answers visitors on a customer’s website, and Voice Pilot, an AI assistant that answers a customer’s phone calls. The service is sold to businesses by written quote and ongoing subscription. The quote, order form, or subscription agreement you sign with us sets the price, term, and scope of your service; if it conflicts with these Terms, that written agreement controls for the service it covers.

How do I book a demo or start a trial?

You can book a demo through the scheduling link on the Site. Demo scheduling is handled by Calendly, a third-party scheduling service, and your use of that scheduling page is also subject to Calendly’s own terms and privacy policy. We may offer a free 14-day trial of the service. A trial is offered at our discretion, may be limited in features or usage, and may be ended by us at any time. At the end of a trial, the service continues only if you subscribe under a written quote or subscription agreement.

Will people know they are talking to an AI?

Yes. Our AI assistants tell callers and website visitors that they are an AI. The assistants are powered by artificial intelligence, not a person. Their answers are generated automatically from the information you configure and the content you provide, and they can misunderstand a caller or make mistakes. You are responsible for reviewing the information you give the assistant and for how you act on the leads, messages, and summaries it produces.

Do you guarantee results?

No. We do not guarantee that the service will produce any particular number of leads, bookings, calls answered, sales, or any other specific business result. Results depend on your business, your market, and how you use the service.

How do you handle my data and my customers’ data?

Information we collect through the Site and the service, including the chats and calls our assistants handle for you, is handled as described in our Privacy Policy at https://frontofficepilot.com/privacy-policy/. We do not use your data or your customers’ conversation data to train AI models, and we do not allow our AI providers to use it to train their own general-purpose AI models. You are responsible for telling your own customers, as required by law, that an AI assistant may handle their chats and calls on your behalf.

Is the assistant an emergency service?

No. Our AI assistants are not an emergency service and must not be relied on in an emergency. In an emergency, call 911.

Who may use the Site and the service?

You must be at least 18 years old to use the Site, book a demo, or sign up for the service. If you use the Site or the service on behalf of a business, you confirm that you have authority to accept these Terms for that business, and “you” in these Terms includes that business.

Who owns the content and software?

The Site, the service, and everything in them, including text, graphics, logos, designs, software, AI assistant configurations, and the names Front Office Pilot, Chat Pilot, and Voice Pilot, are owned by us or our licensors and are protected by copyright, trademark, and other laws. We grant you a limited, non-exclusive, non-transferable license to use the Site and, if you subscribe, the service, for your own internal business purposes under these Terms. You may not copy, modify, distribute, sell, lease, reverse engineer, or create derivative works from any part of the Site or the service except as the law expressly allows. You keep ownership of the content and data you provide to us, and you give us permission to use it as needed to provide the service to you.

What is not allowed?

You agree to use the Site and the service only for lawful purposes and only as these Terms allow. You may not:

  • use the Site or the service to break any law, or to violate the rights of any person or business;
  • send spam, automated traffic, or bulk requests to the Site or the AI assistants;
  • try to disrupt, overload, hack, scrape, or extract data from the Site or the service;
  • try to get around the assistants’ safeguards or make them say things they should not;
  • use abusive, harassing, or threatening language toward our staff or the assistants;
  • impersonate another person or business, or misrepresent who you are;
  • present the assistants’ answers to others as statements or commitments by Front Office Pilot;
  • share your account access with people who are not authorized to use it, or use someone else’s account.

We may limit, suspend, or end access to the Site or the service for anyone we reasonably believe is misusing it or violating these Terms.

What about links to other websites?

The Site may contain links to websites operated by other parties, such as our scheduling provider. These links are provided for your convenience only. We do not control those websites and are not responsible for their content, privacy practices, or any software you download from them. It is up to you to take precautions to make sure that whatever links you select or software you download is free of viruses, worms, trojan horses, and other destructive items. Our inclusion of a link does not mean we endorse the material on that website or are associated with its operators.

Do you agree to electronic communications?

By using the Site, booking a demo, or subscribing to the service, you agree that we may communicate with you electronically, including by email, text message, and notices posted on the Site. You agree that electronic communications, notices, and agreements we provide satisfy any legal requirement that such communications be in writing. You are responsible for keeping the email address and phone number you give us up to date.

Text message (SMS) terms

These text message terms (“Mobile Terms”) apply to the text messages Front Office Pilot sends. Your use of our text message service (the “Service”) means you agree to these Mobile Terms. We may modify or cancel the Service or any of its features without notice. To the extent permitted by law, we may also modify these Mobile Terms at any time, and your continued use of the Service after the effective date of a change means you accept the change.

What texts will you send me?

When you book a demo with us and provide your mobile number, you agree to receive text messages from and on behalf of Front Office Pilot through your wireless provider at that number. Those messages may include a booking confirmation, reminders before your demo (which may be sent through our scheduling provider, Calendly), and a follow-up if you miss your demo. We send these messages only to the number you supply. Messages may be sent using an automatic telephone dialing system or other technology, even if your number is registered on a state or federal Do Not Call list.

Do I have to opt in?

No. Your consent to receive text messages is not a condition of any purchase or of booking a demo. Your participation is completely voluntary.

How often will you text me, and does it cost anything?

Message frequency varies. We do not charge for the Service, but message and data rates may apply, and you are responsible for all charges and fees for text messaging imposed by your wireless provider. Check your mobile plan and contact your wireless provider for details.

How do I stop receiving texts?

You may opt out at any time. Reply STOP to any text message from us to cancel. You will receive a one-time opt-out confirmation text. After that, we will not send further messages to your mobile number unless you initiate them.

How do I get help?

Reply HELP to any text message from us, or email support@frontofficepilot.com.

Other things to know about texts

  • We may change the telephone number we use to send texts at any time and will notify you of the change. Messages you send to a number we no longer use, including STOP or HELP requests, may not be received, and we are not responsible for honoring requests sent to such numbers.
  • Wireless carriers are not liable for delayed or undelivered messages.
  • You agree to provide us with a valid mobile number. If you get a new mobile number, you will need to opt in again with your new number.
  • To the extent permitted by law, we are not liable for failed, delayed, or misdirected delivery of any message sent through the Service, for any errors in a message, or for any action you take or do not take in reliance on a message or the Service.
  • To see how we collect and use your personal information, including your phone number, see our Privacy Policy at https://frontofficepilot.com/privacy-policy/.

Are there any warranties?

Unless we have agreed otherwise in a signed written agreement, the Site, the service, and all software, content, information, and advice available through them are provided on an “as is” and “as available” basis without warranties of any kind, express or implied, other than those the law requires, including implied warranties of title, merchantability, satisfactory quality, fitness for a particular purpose, accuracy, and non-infringement. Without limiting the above, we make no warranty or guarantee:

  • that use of the Site or the service will be uninterrupted, secure, or error-free;
  • regarding the results that may be obtained from use of the Site or the service;
  • regarding the completeness, accuracy, reliability, or quality of any information, content, or answers provided by the Site or the AI assistants;
  • regarding the performance or non-performance of the Site or the service, including as a consequence of the passage of time.

The information published on the Site may include inaccuracies or errors, including pricing errors. We reserve the right to correct any errors on the Site, including pricing errors. You expressly agree that your use of the Site and the service is at your sole risk.

What is your liability?

To the fullest extent permitted by law, in no event will Front Office Pilot, Didier Holding Co., or our suppliers be liable for any indirect, punitive, incidental, special, or consequential damages arising out of or connected with your access to, display of, or use of the Site or the service, or any delay or inability to access or use them, including reliance on information appearing on the Site or provided by the AI assistants, computer viruses, linked websites, or products or services obtained through the Site, whether based on negligence, contract, tort, strict liability, consumer protection statutes, or otherwise, even if we have been advised of the possibility of such damages.

If, despite the limitation above, we are found liable for any loss or damage arising out of or connected with the matters described above, our total liability will in no event exceed, in the aggregate, the greater of (a) the fees you paid to us for the service in the twelve months before the claim arose, or (b) One Hundred Dollars (US$100.00).

These limitations reflect the allocation of risk between you and us. They will survive and apply even if any limited remedy in these Terms is found to have failed of its essential purpose. Some jurisdictions do not allow some of these limits, so they may not apply to you.

Indemnification

You agree to defend and indemnify Front Office Pilot, Didier Holding Co., and our suppliers, and each of our officers, directors, employees, and agents, from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties, or other costs or expenses of any kind, including reasonable legal and accounting fees, brought by third parties as a result of:

  • your breach of these Terms or the documents referenced in them;
  • your violation of any law or the rights of a third party;
  • your use of the Site or the service, including the information you provide to the AI assistants and the way you use their output; or
  • your use of the Site or the service for, or on behalf of, a third party.

What law applies, and where are disputes handled?

These Terms are governed by the laws of the State of Texas, without regard to its conflict-of-laws rules. Any dispute relating to the Site, the service, or these Terms will be brought in the state or federal courts located in Dallas County, Texas, and you and we consent to their jurisdiction. Either party may instead bring an individual claim in a small-claims court that has jurisdiction.

Can these Terms change?

We may update the Site, the service, or these Terms at any time. Changes are effective when we post them on the Site, and the “Effective date” at the top shows the current version. Your continued use of the Site or the service after a change means you accept the change.

General

If any part of these Terms is found unenforceable, the rest remains in effect. Our failure to enforce any part of these Terms is not a waiver of our right to do so later. These Terms, together with our Privacy Policy and any written quote or subscription agreement you sign with us, are the entire agreement between you and us about the Site and the service.
