This Privacy Policy explains what information Front Office Pilot collects through frontofficepilot.com, how we use it, and the choices you have. Front Office Pilot is operated by Didier Holding Co (“Front Office Pilot”, “we”, “us”).

What this policy covers

This policy covers this website and the demo calls you book with our team. It also explains, in the section “If you spoke with an AI assistant at one of our customers”, how we handle conversations that Front Office Pilot answers on behalf of the businesses that use it.

Information you give us

When you book a demo, we collect the details you enter in the booking form: your name, your email address, the time you choose, and anything else you choose to tell us. The booking form is provided by Calendly.

When you email us or talk with our team, we keep the information you share so we can reply and follow up.

We do not collect payment information on this website.

Information collected automatically

Like most websites, ours records some information automatically when you visit:

  • Log information: your IP address, browser type, the pages you view, the page that referred you, and the date and time of your visit.
  • Cookies and similar technologies: small files stored by your browser that help us understand how the site is used.
  • Usage information: which buttons you click, whether you play the sample conversations on our home page, and which questions you open.

The sample conversations on our home page are simulated. They do not record you, and they do not ask for or collect any personal information.

Analytics and session replay

We use third-party tools that collect information about how visitors use our website over time:

  • Google Analytics and Google Tag Manager (website analytics).
  • Microsoft Clarity (heatmaps and session replays that show how visitors move through our pages).
  • Calendly (the demo booking form).

These providers may use cookies and similar technologies, and some may combine this information with information they collect on other websites. You can manage cookies through your browser settings, and you can use the opt-out tools those providers offer, such as the Google Analytics opt-out browser add-on.

Our website does not currently respond to Do Not Track browser signals.

How we use information

We use the information we collect to:

  • Provide, operate and maintain our website.
  • Schedule and hold demo calls, and reply to your questions.
  • Send you information you asked for, and follow up after a demo.
  • Send you marketing email, where you have agreed to it or where the law allows it.
  • Understand how the website is used and improve it.
  • Find and prevent fraud and abuse.
  • Comply with the law.

Who we share information with

We do not sell your personal information.

We share information with service providers that process it on our behalf under contract, including providers of website hosting, analytics, scheduling and email. We may also disclose information when that is appropriate to comply with the law, enforce our site policies, or protect our rights, property or safety, or those of others.

If you spoke with an AI assistant at one of our customers

Businesses use Front Office Pilot to answer their website chats and phone calls. If you chatted with or called a business and an AI assistant answered, that business decides what information is collected and how it is used, and its own privacy policy applies. We process that information on the business’s behalf, as its service provider.

In that role:

  • What we process: what you say or type to the assistant; any name, email address or phone number you give; your phone number (caller ID) when you call; written transcripts of calls and chats; and technical information such as the time, length and outcome of the conversation.
  • How it is used: to answer your questions, connect or transfer you to the right location, pass your request to the business, review and improve the quality of the assistant’s answers, and measure results for the business.
  • Quality review: names, phone numbers and email addresses are removed from a conversation before any AI reviews it for quality.
  • Who it is shared with: the business you contacted, and service providers that process information for us under contract, including providers of telephony, AI language models, cloud hosting and analytics, and the business’s own connected systems.
  • What we do not do: we do not sell conversation data.

To ask about, access or delete information from a conversation with a business, contact that business. You can also email us at support@frontofficepilot.com and we will pass your request to it.

How long we keep information

We keep personal information only as long as reasonably necessary for the purposes described in this policy, and then delete it.

Your choices

You can choose not to provide information, although we need some details to book a demo with you. To stop receiving email from us, use the unsubscribe link at the bottom of any message or email us at support@frontofficepilot.com.

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing support@frontofficepilot.com. We respond within one month.

California privacy rights

Under the California Consumer Privacy Act, California residents have the right to request that a business disclose the categories and specific pieces of personal information it has collected about them, to request that it delete that information, and to request that it not sell their personal information. We do not sell personal information. To make a request, email support@frontofficepilot.com.

Visitors from the European Economic Area and the United Kingdom

If the General Data Protection Regulation applies to you, you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to data portability, under certain conditions. To exercise any of these rights, email support@frontofficepilot.com. We respond within one month.

Email

In line with the CAN-SPAM Act, we do not use false or misleading subjects or email addresses, we include our business address in marketing email, and we honor unsubscribe requests promptly.

Children

Our website is for businesses. We do not market to children under 13, and we do not knowingly collect personal information from them.

Links to other websites

Our website links to other sites, including emailpilot.ai. Those sites have their own privacy policies, and we are not responsible for their content or practices.

Changes to this policy

We may update this policy. When we do, we will change the “Last updated” date at the top of this page.
